Facilities Requests
Access to and use of any SJSU building or facility must be reviewed and approved by FD&O. While the request process is being revised, contact Cindy Soto at FD&O to initiate the facility reservation request process. Disregard all old saved forms and leases as a new lease will be sent over by FD&O when the request process begins.
Give at least 30 days notice to begin the process for facility rentals. Additional time may be needed to review and approve requests and requests will be denied for incomplete information or if the request is not submitted with ample time for review. All facilities rental requests are reviewed in the order they are received, not on the urgency or timing of the event.
To assist FD&O with processing your request in a timely manner, be prepared to provide the following. This is not an exhaustive list of required items needed from the requestor(s).
- Event details: date, time, venue(s) being requested, nature of event, proposed timeline
- Certificate of insurance that is compliant with insurance requirements
- Review of the latest Time, Place and Manner policies and relevant Code of Conduct policies
- Involvement or sponsorhip if any campus entity (academic department, unit, recognized student organization) if applicable. This includes MPP approval, where necessary.
- Proposed layout(s) or floorplan(s) of event
- Proposed catering plan (if applicable)
- Ancillary service(s) needs: e.g. custodial support, building access, electrical needs, security or police presence, accessibility needs, etc.
- Budget: rentals of SJSU facilities and provision of services by FD&O and other departments will require payment of fees. To review rental requests, requestors must show how assessed fees will be paid and by whom.
- Expected responsibilities of the requesting party: what the requestor will be agree to do as it relates to event security, cleanup, etc.
